N.B: Important note for all for Engage Victoria reporting dashboards:
IP data was not being collected prior to the first of March 2023. Therefore, when the start of the date range is set prior to the first of March 2023, the IP Hash field in the submission export of any participation tool will not show any values.
Reporting is available on the participation tool level. Participation tool reporting allows you to inspect and analyse data from that particular tool.
To find a participation tool dashboard
Log in via your District Engage website.
In the top-level menu bar, click Projects. This will show you all projects you currently have access to.
Click on a project to open it.
In the left-hand menu under Participation, click on the participation tool type you would like to see reporting of. This will bring up a list with all participation tools available within this tool type.
Click on the participation tool to open it. The default screen is your participation tool dashboard.

Dashboard views
There are two views to display participation tool data:
Visualisation view (default): This is the default view when landing on a participation tool reporting page. The layout of the dashboard changes depending on the type of participation tool you are viewing.

Table view: The table view lines up each participation tool submission with columns containing the submission details.

To access the table view
Log in via your District Engage website.
In the top-level menu bar, click Projects. This will show you all projects you currently have access to.
Click on a project to open it.
In the left-hand menu under Participation, click on the participation tool type (Surveys or Polls) you would like to see reporting of. This will bring up a list with all participation tools available within this tool type.
Click on the participation tool to open it. The default screen is your participation tool dashboard.
To switch from the dashboard view to the table view, click the table icon on the right hand side next to the search bar and the pie chart icon. This will display the participation tool data in a table view.

To revert to the visualisation view
From the table view screen, click the pie chart icon on the right hand side next to the search bar. This will display the participation tool dashboard.

Dashboard elements
Regardless of the participation tool type, the top of the tool dashboard displays a graph with the submissions over time, and the submission total.

The remaining section of the dashboard varies depending on the participation tool type:
For questions, ideas and discussions, the dashboard contains a list of submissions, with the ability to click the submission line to be navigated to the submission detail page.

For polls, the dashboard displays a bar chart of the poll responses.

For surveys, the dashboard displays a chart for the responses to every individual question.

Surveys and polls: Change question charts
For both surveys and polls, question responses are visualised by a default chart. However, District Engage allows you to change the way question data is displayed.
To change the default chart of a survey or poll question:
Log in via your District Engage website.
In the top-level menu bar, click Projects. This will show you all projects you currently have access to.
Click on a project to open it.
In the left-hand menu under Participation, click on the participation tool type (Surveys or Polls) you would like to see reporting of. This will bring up a list with all participation tools available within this tool type.
Click on the participation tool to open it. The default screen is your participation tool dashboard.
Scroll down to the question chart you would like to update.
In the right hand corner of the question chart, click the three dots. This will open a dropdown with different display options: Bart chart, Radar chart, Donut chart, and Table data. Select the chart type and the question data display will automatically be updated. Note: you do not need to save your project to save these changes.

View / delete submissions
Questions, Ideas and Discussions
The participation tool dashboard for questions, ideas and discussions contains a list of submissions. Per submission item, you can view the moderation status, comments, author, etc.

Log in via your District Engage website.
In the top-level menu bar, click Projects. This will show you all projects you currently have access to.
Click on a project to open it.
In the left-hand menu under Participation, click on the participation tool type (Questions, Ideas or Discussions) you would like to see reporting of. This will bring up a list with all participation tools available within this tool type.
Click on the participation tool to open it. The default screen is your participation tool dashboard.
Scroll down to the Submissions table.
Click on name of the submission item you would like to see the detail of. This will bring up a pop up window with the submission detail.
To delete the selected submission, click the Ellipsis menu, on the right hand-side of the submission.
Select Delete.
To confirm you would like to delete the selected submission click Yes, Delete this question.
Your selected submission has now been deleted.

Surveys, Polls and Survey Maps
Log in via your District Engage website.
In the top-level menu bar, click Projects. This will show you all projects you currently have access to.
Click on a project to open it.
In the left-hand menu under Participation, click on the participation tool type (Surveys, Polls, Survey Maps) you would like to see reporting of. This will bring up a list with all participation tools available within this tool type.
Click on the participation tool to open it. The default screen is your participation tool dashboard.
Switch to the table view by clicking on the table icon on the right hand side next to the search bar and the pie chart icon. This will open the table view, listing all submissions with the details displayed in the columns.
To navigate to the submission detail page, click on the View button in the row of the submission you would like to see the details of. This will open the submission detail page.
To delete the selected submission, click the Delete tab, on the right hand-side of the Review tab. This will open a confirmation screen. To confirm you would like to delete the selected submission click Yes, Delete this Survey submission.
Your selected survey submission has now been deleted.

Exporting participation tool data
To export the raw participation tool data in Excel format:
Log in via your District Engage website.
In the top-level menu bar, click Projects. This will show you all projects you currently have access to.
Click on a project to open it.
In the left-hand menu under Participation, click on the participation tool type you would like to see reporting of. This will bring up a list with all participation tools available within this tool type.
Click on the participation tool to open it. The default screen is your participation tool dashboard.
Next to Frontend button, click the three dots.
In the dropdown, click Download data. This will bring up a popup with warning about the potential sensitive nature of the data. Once you click Confirm, an automatic download of the raw dashboard data in Excel format will start.

To download attachments that were submitted along with the participation tool submissions:
Log in via your District Engage website.
In the top-level menu bar, click Projects. This will show you all projects you currently have access to.
Click on a project to open it.
In the left-hand menu under Participation, click on the participation tool type you would like to see reporting of. This will bring up a list with all participation tools available within this tool type.
Click on the participation tool to open it. The default screen is your participation tool dashboard.
Next to Frontend button, click the three dots.
In the dropdown, click Download attachments.

To export an individual chart on a survey or poll dashboard:
Log in via your District Engage website.
In the top-level menu bar, click Projects. This will show you all projects you currently have access to.
Click on a project to open it.
In the left-hand menu under Participation, click on the participation tool type you would like to see reporting of. This will bring up a list with all participation tools available within this tool type.
Click on the participation tool to open it. The default screen is your participation tool dashboard.
Scroll down to the chart you want to export into an image.
In the right hand corner of the chart box, click the three dots.
In the dropdown, click either Export as SVG, Export as PNG, or Export as CSV. The download will start automatically.
