Creating and sharing a project preview link

As a project manager or engagement manager, you may need to send a draft page for review outside of the system so that non-authenticated users can preview a project before it is published.

When users access the shareable preview link, they have the ability to navigate to other tabs, such as the Participate tab or the Updates tab. They can then preview all content created within these tabs, including both published and draft content.

To create a shareable preview link to the latest internal version of your project:

  1. While logged in, use the top-level menu to navigate to the Projects tab.

  2. Click on the project for which you would like to create a shareable preview link.

  3. On the project overview page, click the three dots next to the Frontend button.

  4. From the dropdown, click Shareable preview link.

  5. A pop-up window will appear. To create a new project shareable preview link, click Create Preview Link. This link can be shared with anyone and it expires after 14 days from its creation.

  6. To share the link, click Copy to Clipboard. This will save the link to your clipboard for pasting it wherever you wish to share it.

Note: you may not have permissions to create a shareable preview link as part of your role. If you have any questions about your permissions, contact your District Engage administrator.

Note: If you have a published item (e.g., a survey, page, or timeline stage) inside your project and you create a new draft version of that item, the shareable preview link will still display the current published version. Any updates or changes made to the item that are saved as a draft will not be visible in the shareable preview link until those changes are published.

There may be instances where a shareable preview link needs to be deleted prior to its expiration date.

When a user tries to access a deleted preview link, there will be different outcomes depending on whether the user is authorised to view this project or not:

  • If the user accessing the deleted preview link is authorised to view this project, the user will be navigated to the latest internal version of the project.

  • If the user accessing the deleted preview link is not authorised to view this project, the user will be navigated to an error page.

To delete a project shareable preview link:

  1. While logged in, use the top-level menu to navigate to the Projects tab.

  2. Click on the project whose preview link you wish to delete.

  3. On the project overview page, click the three dots next to the Frontend button.

  4. From the dropdown, click Shareable preview link.

  5. A pop-up window will appear. To delete the project shareable preview link, click on the Delete button.

Note: After deleting a preview link, you can always create a new one if needed. This new link will have a fresh 14 day expiry period.
